Clinical Office Manager

Job Description

North Kern Tulare Hospital District is looking for an experienced clinical Office Manager to join our team of dedicated employees working at our Rural Health Clinic, Gloria Nelson Center (“GNC”). This position reports to the Executive Director and is responsible for the day-to-day operations of the clinic.

Supervisory Responsibilities:

  • Oversees the daily work activities of the office.
  • May handle and/or assist with discipline and termination of employees in accordance with Company policy.

Duties/ Responsibilities:

  • Act as main point of contact for all office matter, while working alongside Executive Director for successful operation of clinic.
  • Maintain a safe and secure environment for all staff, patients, and guests, following established safety standards.
  • Encourage teamwork through cooperative interactions with co-workers and other departments.
  • Organize the office layout and order stationery and equipment
  • Partner with HR to update and maintain office policies as necessary
  • Working alongside Finance department to ensure timely and accurate AP.
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Manage Clinics office General and Administrative budget, ensure accurate and timely reporting
  • Provide general support to visitors
  • Assist in the on boarding process for new hires
  • Address employees’ queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Maintains office files; implements an efficient system for other staff to access files and records.
  • Work closely with Executive Director to plan, develop and streamline processes within office.
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Must be fully vaccinated against COVID-19, including having received booster shots and have proof of vaccination status.
  • Proven experience as an Office manager, Front office manager or Administrative assistant
  • Familiarity with email scheduling tools, like Email Scheduler and Boomerang
  • Attention to detail and problem-solving skills
  • A creative mind with an ability to suggest improvements
  • Medical Billing, preferred but not required
  • Extensive knowledge of office management procedures.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.

Education and Experience:

  • High school diploma or equivalent required; Associates degree in office administration or related field preferred.
  • At least three years of administrative and clerical experience required.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Salary:

  • Salary range commensurate with education and experience.

Work Schedule

  • Monday through Friday, 8a-5p with occasional Overtime
